As the GPCPAs family grows, we are looking for an Administrative Assistant (Bilingual: English /Spanish) to support our Miami office. We are looking for a self-starter who can handle multiple high-priority tasks simultaneously and handle all levels of client management and other professionals. General Purpose of the Position:
The Administrative Assistant contributes to guaranteeing the effective functioning of our Miami office. Responsible for administrative tasks, such as archiving, invoicing, attention and assistance to visitors, answering the telephone service, coordinating courier services, handling correspondence, coordinating appointments, and resolving any problem or administrative requirement, among others.
Duties and Responsibilities:
- Receive visitors, announcing and guiding them to the right person. During visitors’ stay in the firm’s facilities, the Administrative Assistant is also responsible for providing them with adequate and cordial attention and general support.
- Control the timely payment of office services, such as condominium, electricity, telephone, internet, etc., guaranteeing their timely payment. Make service or billing claims to the respective companies when they proceed.
- Organize, scan, copy or photocopy and file general physical and digital documents, including emails, receipts, reports, and other administrative documents. Maintain digital backup of documents in general.
- Receive, answer and screen phone calls, take messages, transfer, route, or direct those calls to the indicated staff member.
- Coordinate appointments and meetings, managing calendars and schedules.
- Coordinate domestic and international travel, including flight, hotel, and car rental reservations.
- Receive, filter, organize and distribute correspondence between staff members.
- Receive faxes and deliver them to the staff member to whom it is addressed. Send faxes according to the instructions received by the sender.
- Coordinate and schedule business meetings, interviews, appointments, corporate events, and other related activities, handling logistics.
- Answer, transfer phone calls, and take messages for staff members. Receive and filter telephone calls, routing or directing them to the indicated people in the staff.
- Coordinate messaging and courier services. Go to the post office in those cases that are required.
- Maintain duly filed and updated, in physical or digital, existing procedures, contact lists, record information, administrative database, as well as updating spreadsheets and other data entry tasks.
- Coordinate the maintenance, repair, or replacement of office equipment. Being responsible for keeping track of equipment warranties
- Keep inventory control and coordinate the purchase of office supplies.
- Prepare and post petty cash expense reports, file, and control them. The Admin Assistant must also report on the need to replenish cash.
- Billing. Creating invoices and processing client/customer payments.
- Store sensitive information correctly.
- Schedule job and exit interviews.
- Maintain and update employees’ emergency contact information.
- Other duties as assigned.
Work Experience Requirements (The minimum experience requirements to adequately occupy this position):
- Previous experience in office administrative tasks is a must.
- Previous experience using office equipment and computer software such as Microsoft Office (Outlook, Excel)
- Previous QuickBooks experience preferred.
Knowledge and Skills Requirement:
- Excellent written and verbal communication
- Must be Bilingual (English and Spanish) due to the significant number of Hispanic customers.
- Dedicated to high-quality, detailed work
- Ability to work productively and cordially with staff members.
- Proactive and customer service oriented.
- Organized and detailed oriented, with a remarkable ability to handle multiple projects and prioritize tasks properly.
- Great attitude and strong teamwork and interpersonal skills.
- Previous accounting experience preferred.
- Ability to operate with all levels of client management, referral sources, and other professionals.
- Strong computer skills.
- The ideal candidate must be high-skilled in Microsoft Excel spreadsheet preparation.
- Previous customer service experience preferred

As the GPCPAs family grows, we require a Tax Associate (Bilingual: English /Spanish) to join our Tax team at our Miami office. As an Associate, you will work as part of a team of problem solvers and strategic thinkers.
Report to: Senior Tax Supervisor
General Purpose of the Position:
The Tax Associate is responsible for coordinating and executing tax services, tax compliance services, tax representation, and client consulting services, as well as assisting Senior Tax Associates and/or the Tax Manager in Federal and State Income Tax Planning, Estate Tax Planning, and tax calculations projection, tax research, and analyses to determine the financial consequences of tax law changes. The ideal candidate for this position provides in all its functions a high-quality service on time and within the budget, guaranteeing the achievement of the established objectives and the client’s satisfaction.
Duties and Responsibilities:
* The Tax Associate is responsible for coordinating and executing tax services to clients, including:
1. Tax Compliances Services:
- Tax Returns preparation (Federal and State)
- International tax issues included: Streamlined Voluntary Disclosure Program. FIRPTA withholding certificate application, preparation, and filing. Forms 5472, 5471, 1120-F, and FBARS, 3520 (SERIES) FORMAS 8938, 8865, among others.
2. Other Tax Compliance Services and Support:
- Preparing and documenting applications for ITIN and EINs
- Organizing, segregating and filing to Clients’ folders all clients submitted information and documentation
- Tax research on clients’ specific tax matters assigned
3. Tax Consulting Services:
- The Tax Associate assists Senior Tax Associates and/or Tax managers with general tax consulting on several federal and state tax matters.
- Assists Senior Tax Associates and/ or Tax Managers in federal and state income Tax Planning doing tax calculations, projections, and tax research.
- Assists Senior Tax Associates and/ or Tax Managers in analyzing to determine the financial consequences of tax law changes.
- Assists Senior Tax Associates and/ or Tax Managers in preparing and documenting paperwork and analyses for Tax Representation of Clients with IRS or State Tax Departments.
4. General Activities:
- Delivering high-quality service on time and within budget to ensure client satisfaction and achieve stated goals.
- The Tax Associates coordinates with clients to ensure prompt and timely obtention of the information and documentation requested.
- Develops adequate and proper documentation to support figures and information posted onto the returns so that subsequent tax preparers can understand -after the fact- the reasoning behind each decision made and the tax calculation results.
- Prepares annual extensions and quarterly estimates.
- Assists with income tax audits and notices.
- Income Tax Returns preparation for C-corps, S-corps, partnerships, LLCs, individuals, non-profit organizations, and trusts.
- Reviews documentation and research federal and state tax return issues.
- Interacts with clients to obtain information or to answer questions.
- Provide timely and unmatched client service, exceeding client expectations.’
- Prepares accounting records for clients, as well as financial statements along with their notes for comfort letters or financial statement compilation reports.
- Develops and edits correspondence, memoranda, and other client deliverables as needed.
- Assists, if needed, at virtual or in-person meetings with clients, IRS representatives, and others.
Work Experience Requirements:
- 1-2 + years of recent tax professional service experience with public accounting firms.
- 1-2 + years preparing financial statements.
- One (1) year minimum of tax experience working with Partnerships, S-Corps, and C-Corps tax returns.
- Experienced with software programs such as UltraTax and QuickBooks.
- Experience with Microsoft Office Tools (Excel, PowerPoint, Word, and Outlook) and Adobe Acrobat.
Knowledge and Skills Requirement:
- Working knowledge of federal, state, and local income tax laws is a must.
- Strong accounting, analytical and problem-solving skills.
- The ideal candidate must be high-skilled in Microsoft Excel spreadsheet preparation and interpretation, as well as highly proficient in UltraTax and QuickBooks.
- Strong financial, research and planning skills.
- Strong work ethic, professional demeanor, and client service focus.
- Excellent verbal and written communication skills.
- Tax and accounting research proficiency.
- Ability to demonstrate the highest personal ethics, integrity, and confidentiality.
- Be able to carry out duties mostly independently.
- Must be fully Bilingual in English and Spanish due to a substantial number of Hispanic clients.

- A self-starter with ability to deal with multiple priorities
- Ability to handle multiple types of clients and engagements, referral sources and other professionals
Education or Training Requirements:
- Bachelor’s degree in Accounting
- Master’s in Taxation or Master’s degree candidate (Preferred)
- CPA Certification, CPA Candidate or or committed to obtaining it promptly.
Job Type: This is a Full-time salaried position in our Miami office.
